Record transactions

Add expenses, income, transfers and conversions, and correct or delete them later.

A transaction is money that goes into or out of an account. There are four types:

  • Expense: money out, for example a purchase. It comes out of a category.
  • Income: money in, for example a salary. It usually goes into Ready to budget.
  • Transfer: money from one of your accounts to another account in the same currency.
  • Conversion: a transfer between two accounts that have different currencies.

You can also import transactions from a bank file. See Import a bank file.

Add an expense

  1. Select Add transaction. This button is on the Budget, Transactions and account pages.
  2. In Type, select Expense.
  3. In Account, select the account that paid.
  4. In Amount, type the amount without a minus sign. Use a dot for decimals.
  5. In Category, select what the money was for.
  6. Make sure that Date is correct.
  7. Optional: type a Payee and a Note.
  8. If your bank already shows the payment, select Cleared: the bank shows it.
  9. Select Add transaction.

The currency always comes from the account. If the category has no money in that currency, the form tells you. You can still save: the category becomes overspent in that currency.

Add income

  1. Select Add transaction.
  2. In Type, select Income.
  3. Select the account, and type the amount and date.
  4. In Category, keep Uncategorized. The money goes into the account's Ready to budget.
  5. Select Add transaction.

For a refund, select the category of the purchase instead. The money goes back into that category.

Move money between your accounts

  1. Select Add transaction.
  2. In Type, select Transfer.
  3. In From, select the account that sends the money.
  4. In To, select the account that gets the money.
  5. Type the amount and the date.
  6. Select Add transaction.

A transfer has no category. The money leaves the Ready to budget of the sending account. It goes into the Ready to budget of the receiving account.

Change money to another currency

If the two accounts have different currencies, the transfer is a conversion. The form then asks for two amounts. Use the amounts from your bank or exchange service. Then the budget shows the rate that you actually got.

  1. Select Add transaction, and then Transfer.
  2. In From and To, select the two accounts.
  3. In Amount sent, type the amount that left the first account.
  4. In Amount received, type the amount that arrived in the second account.
  5. If you paid a fee, open Fee included. Type the fee in the sending currency. Then select a Fee category.
  6. Select Add transaction.
The Add transaction form for a transfer from a EUR account to a HUF account, with Amount sent, Amount received and a fee.

The fee is part of the amount sent. For example, you send €800 and the service keeps €3.20. Then €796.80 was changed and the received amount is for €796.80. The account register shows the rate and the fee.

The app does not move category money for you. The amount sent (less any fee) comes out of the sending account's Ready to budget. The amount received goes into the receiving account's Ready to budget. Then you assign it in the new currency.

Find a transaction

  • Transactions shows every transaction in every account, latest first.
  • An account page shows the transactions of that account, with a running balance. See The account register.
  • To see the transactions of one category, open the category on the Budget page. Then select See its transactions. To see all again, select Show all.

Choose categories for uncategorized expenses

An expense without a category comes out of Ready to budget. When there are any, the Budget page says how many, and Transactions shows an Uncategorized button.

  1. On the Budget page, select Choose categories.
  2. For each transaction, select a category in the Category column. It saves right away and shows Saved.
  3. To add or change a note, type it under the payee. It saves when you leave the field or press Enter.

To give several transactions the same category at once:

  1. Tick the box at the start of each row, or tick the box in the header to select all.
  2. Above the list, choose the category and select Set category.

The page says how many changed. A reconciled transaction cannot be ticked, and one that changed somewhere else since the page loaded is skipped and counted.

Only the category changes, and the earlier version stays in the transaction's history. A reconciled transaction shows an Edit link instead of a category, because the edit form adds a linked adjustment; its note still saves in place. Income without a category is not listed: it goes into Ready to budget, as it should.

To file a payee's future imports automatically, select Create rule in its row. The rules page opens with the payee already in the new rule, and with the category if you picked one in that row. Choose the category and select Add rule to come back to the list. See Let rules pick categories.

To let your rules categorize the list, select Apply rules to uncategorized at the top of the page, or on the rules page. Each transaction that a rule matches gets that rule's category, and the page says how many changed. A transaction from an import is also checked against its bank transaction ID, bank's category and mapping. A reconciled transaction is left as it is, and the page says how many matched. People with view-only access to a shared budget cannot apply rules.

Correct a transaction

  1. Find the transaction, and select Edit.
  2. Change the fields.
  3. Select Save changes.

The app keeps the earlier version. The register shows Edited once or how many times a transaction changed. Select it to see the earlier values.

If a transaction is Reconciled, you can change its payee and note freely. If you change its amount, account or date, the app adds a linked adjustment. This keeps the confirmed balance correct. To continue, select Add a linked adjustment and keep the reconciliation.

Delete a transaction

  1. Find the transaction, and select Edit.
  2. Under the form, select Delete this transaction.
  3. Read the warning. Then select Delete for good.

The transaction leaves its accounts and its category, and their balances go back to what they were without it. For a transfer or a conversion, both accounts change back. You cannot undo a deletion.
